SUMMIT, An Earth Services Company is seeking a highly motivated and experienced individual to join the Summit Decommissioning Services (SDS) Division as a Project Coordinator (Competition #19-02-0291) in Calgary, Alberta. You will report directly to the Operations Manager of Summit Decommissioning Services. The Project Coordinator is responsible and serves as a direct project line support to SDS. The successful applicant will be responsible for ensuring the quality, cost efficiency and timeliness of deliverables.

 You will be supported by the entire Summit organization which consists of a dynamic Team of technical administrators, business development professionals, an in-house IT department and many other highly experienced, skilled and educated professionals.


Job Duties: 

  • Manage workflow by working closely with field staff, Project Manager(s), and operations manager(s)

  • Provide daily reports to key clients, ensuring that deadlines are met, while maintaining Summit’s high standard of quality service

  • Coordinating the submission of daily field tickets, and confirming precise details are collected for data entry

  • Assist in entering timecard data into internal software system accurately and in a timely manner

  • Implement and monitor programs as directed by management, and see the programs through to completion

  • Generate internal and external communications as needed

  • Work with other divisions to develop new and improved ways of processing information and implement these systems in coordination with the Operations Manager, SDS

  • Respond to questions and requests for information with respect to on-boarding new clients and providing quote sheets

  • Assist with project management to update revenue costs with the AFE associated with each project

  • Provide cost control and detailed review of projects from a project accounting perspective

  • Administrative support: Filing documents, entering field staff timesheets, expenses, vendor invoices, and unit/equipment, ensure proper coding is provided on vendor invoices, book hotels and flights for team members, maintaining project documentation

  • Perform quality assurance on field tickets as they are received from the field team

  • Review and compare third party invoices to amounts charged on field tickets to ensure prices are accurate for invoicing

  • Distribute charges on various phases throughout projects on a weekly basis in BST

  • Complete client weekly office Tracker reports

  • Correct rates/ billing errors in BST prebills on a weekly basis

  • Create client invoices on a bi-weekly basis

  • Enter costs from daily field tickets into Daily Cost Tracker

  • Update Daily Cost Tracker with third party tickets that are not listed on daily field tickets

  • Add third-party tickets to proper daily field ticket files

  • Provide backup for other project staff

  • Create new projects in various project systems, as required

  • Action Log input

  • Train field and project staff on processes and procedures

  • Create new processes and procedures to improve quality and efficiency

  • Quality Control and Assurance

  • Create change management documents

  • Create field schedule for field staff



  • Successful candidate is highly disciplined and understands the importance of following procedures and maintaining systems, and can promote and enforce their use to facilitate successful business outcomes

  • Experience with BST or equivalent enterprise software is considered an asset

  • Strong interpersonal skills

  • Accuracy and attention to detail; organizational, time management, technical writing, and decision-making skills

  • Advanced data entry speed and accuracy and Microsoft Excel and Word skills

  • Ability to undertake a variety of project related tasks

  • A minimum of 5 years’ experience in oil and gas administrative capacity

  • Ability to represent Summit during discussions with internal and external clients

  • Post-secondary education or training in an accounting, project management, administration or equivalent will be considered a strong asset.
